Where the VA genuinely wins

Three cases where a human VA is the right answer, not an agent:

  1. The work is genuinely bespoke every time. If 90% of what your VA does is unpredictable - different customer, different problem, different system - a human’s adaptability is hard to beat.
  2. The relationship is the product. High-touch service businesses where customers expect (and pay for) a human at the other end need a human at the other end.
  3. You like growing people. A VA can grow into a junior PA, then a senior one, then a head of operations. An agent can’t. If career-shaped management is part of why you run the business, hire.

Where the lease genuinely wins

Three cases where the lease is the right answer:

  1. The work is patterned. You can name the five or six things you reply to all the time. An agent learns those patterns and ships them consistently. The VA would do this too - for ~£1,500 a month rather than £180.
  2. You need 24/7 availability. Out-of-hours enquiry response, weekend chasers, the inbox-already-sorted-when-you-wake-up. A human can’t do this. An agent does it as default.
  3. You’ve tried hiring and bounced off the management load. Onboarding, performance reviews, sick leave, handover when they leave. If you couldn’t face doing that again, the lease removes the management layer entirely.

The combination case

Most successful owner-operators we work with run both. A part-time human VA handles the high-judgement, relationship-led work. A leased PA agent handles the inbox-triage, calendar-scheduling, enquiry-response, weekend-cover work. The VA loves the agent because it removes the drudge from their day. The principal loves both because the cost is bounded and the cover is total.

Roughly: £180/month for the agent + £800–£1,200/month for a 10–15-hour-a-week VA = full-stack admin for under £1,500/month. Compares well to a single £2,000+/month full-time human doing both.

How to decide for your business

The simplest test: write down your last week of admin. Tag each item as routine pattern or genuinely bespoke / relationship-led. If routine is more than 70%, lease. If bespoke is more than 70%, hire. If it’s roughly half-and-half, do both - the agent costs you less than the marginal cost of getting the VA from part-time to full-time.
